Studio Manager – Maternity Cover (8-10 months)

We are looking for a part-time Studio Manager, to join our team of 11 people for maternity cover.

The Studio Manager will be responsible for ensuring the smooth running of the office. This is a varied role which would suit a proactive, highly organised individual with excellent administrative and communication skills and good attention to detail. Previous experience in a similar role is desirable. Good general IT skills are necessary and knowledge of CMAP is desirable but not required.

The position will be part-time (3/4 days per week) and will require a staged handover preferably starting towards the end of December.

Typical responsibilities:

General Studio Management:

  • Answering incoming calls and managing post
  • Administering printer contracts and maintaining stationary levels
  • Basic IT problem solving in-house
  • Liaising with our external IT and Technical support team
  • Ordering office supplies and do weekly office lunch order
  • Manage filing and archiving systems
  • Support the wider team
  • Helping to manage the diary
  • Assisting the Partners with occasional travel bookings
  • Arrange CPDs

Finance & Project Administration:

  • Run the weekly all-staff project progress meeting
  • Manage incoming job enquiries
  • Assist with project time and budget tracking on CMAP
  • Assist the partners with job resourcing
  • Assist the partners with Fee Agreements
  • Invoicing fees and expenses
  • Assistance with setting up documents for competitions and job getting
  • Book keeping to assist the accountant (VAT, PAYE, pensions etc.)
  • Paying Invoices
  • Negotiating insurance renewals including Professional Indemnity

HR Administration:

  • Assist with admin associated with recruitment, employment contracts and progress reviews
  • Inducting and setting up new users on office systems
  • Update policy handbooks

PR:

  • Liaising with our external PR agency and keeping them up to date of any news
  • Filing photography of completed jobs and providing this to the PR team
  • Filing all digital and physical press
  • Undertaking some basic website updates and liaising with the external website team re further updates
  • Social media updates (twitter, Instagram, web news updates etc)
  • Coordination of special events

Salary dependent on experience
20 days holiday pro-rata (excluding bank holidays)
